  1. Ask what you are standardising onto before you ask what it costsEvery firm here integrates with existing tools. They differ in what sits at the centre afterwards: your own systems, a no-code platform, or the vendor's platform. That single answer drives more of the five-year cost than the price of the build.
  2. Make somebody name the record of truth for each fieldIf the CRM and the spreadsheet both hold the customer's address, the integration has to say which one wins, and it has to say it before anything writes. A firm that cannot answer this in the scoping call has not designed the integration, only the connections.
  3. Treat every integration as an access grantAsk what the automation can reach, whether tokens are scoped and read-only by default, which actions require a human, and where the log of what it did lives. These answers are cheap to get before the build and expensive to retrofit after it.
  4. Ask what stops working if you stop payingThe honest version of the ownership question. If the answer is that the workflows, prompts and code are yours and keep running, you bought an asset.
